10 criteria for choosing an appointment system for a small salon
There are many appointment systems on the market. Use these ten questions to look beyond the price when you decide.
1. Does it really prevent double bookings?
A second booking for the same person at the same time should be impossible. This is the system's most basic job; test it during the trial.
2. Is it easy for customers?
Are customers forced to create an account and remember a password? Signing in with a one-time code sent to their phone or email makes it easier. Check that it works comfortably on mobile.
3. Are there reminders and notifications?
SMS and email reminders reduce no-shows. It is also legally important that campaign messages depend on customer consent.
4. Is staff and service management flexible?
Each staff member's working hours, time off and services should be defined separately, and service durations and prices should be easy to edit.
5. Customer file and history
Are past appointments, notes and packages in one place? Can you limit who can access customer information with permissions?
6. Checkout, stock and reports
Do you only need a calendar, or also tickets, cash, product stock, packages and revenue reports? Define your needs up front.
7. Data security and privacy
How is your data protected? Isolation between businesses, permission control, two-factor authentication and data-protection compliance (notices, deletion and download rights) are worth checking.
8. Can you keep ownership of your data?
You should be able to export customer and appointment data when needed, and know what happens to the data when you close the account.
9. Support and language
Who do you reach when there is a problem? If your customers will use it in different languages, a multilingual interface matters.
10. Free trial and clear pricing
Trying without commitment and seeing the price up front reduces risk.
