How to write an appointment reminder message (with examples)

A good reminder message saves the customer time and saves the salon an empty chair. So how do you write one?

What the message should include

  • The salon's name (so the customer knows which appointment it is)
  • Date and time
  • The service (optional but useful)
  • How to cancel or change (a link or a phone number)
  • The address if needed

When to send it

A common pattern is two reminders: one day before and a few hours before. It is good practice to set quiet hours so nothing is sent late at night.

Short SMS examples

Hi Anna, you have a haircut tomorrow at 2:30 pm at Lale Beauty. To change or cancel: [link]
Reminder: your appointment is today at 4:00 pm. See you soon! Please let us know if you will be late.

Email example

Subject: Your appointment tomorrow

Hi Anna, you have a haircut tomorrow at 2:30 pm. Our address: … If you would like to change or cancel, use this link. We look forward to seeing you.

Common mistakes

  1. Writing too much. Keep the SMS short.
  2. Not giving a way to cancel. If customers can't cancel, they may not tell you at all.
  3. Mixing it with marketing. A reminder is informational; campaign messages need the customer's separate consent.
  4. Sending at the wrong time. Avoid night-time and very early hours.

Automate it

Instead of writing and sending messages by hand, defining templates and letting the system send them saves time and reduces mistakes. In Müsaitmi you can edit reminder texts for your own salon; see For businesses.
